Rady Children’s Hospital Foundation currently seeks an Executive Assistant to support our Deputy Director / Vice President of Foundation Fundraising and our Major Gifts Team, and who shares our vision to be a leader, recognized nationally and internationally, for excellence in patient care, education, research and advocacy. The VP of Major Gifts and our team of development experts seeks a highly motivated, detailed-oriented team player to support our efforts. The Executive Assistant will coordinate and perform a variety of administrative tasks, but not limited to, managing calendars and scheduling meetings; coordinating meeting logistics (room reservations, catering, A/V, etc.); answering phones; drafting memos; and supporting the execution of a variety of communications and prospect/donor engagement strategies. This position is key to ensuring smooth operations for the leader and team, and will oversee the reimbursement and invoice process; help manage important donor cultivation meetings; effectively work with external, inter- and intra-departmental teams to support the VP of Major Gifts and the team; assist with database entry to help track fundraising activity; and plan and execute other projects as assigned within scope of responsibility.
The ideal candidate will want to thrive in a fundraising setting; be an excellent ambassador and representative for Rady Children’s and the Foundation; work efficiently under pressure and be able to meet deadlines; demonstrate good decision-making; and be proactive and solutions focused. He/She should be articulate, poised, and possess good written and oral communication skills. An ability to work evenings and weekends as needed is a plus.
Schedule: Days, 8-hour shifts
FTE: Full-Time, Exempt
Location: Rady Children's Foundation - Plaza Campus
- High School Diploma, GED or foreign equivalent
- Three years of experience
- Experience in a professional office environment with progressive reporting relationships
- Sophisticated skills in Microsoft Word, Excel, PowerPoint, Outlook and/or Access (as needed)
- Expert level communicator
- Strategic Multi-tasker
- Emotional Intelligence
- Calm under pressure
- Bachelor's Degree
- Five years of experience
- Certification as preferred by area of expertise (e.g., Event Planning, Certification in HRD)
- Experience in area of support (e.g. HR, Finance, Clinical, etc.)
- Advanced software skills (particularly graphic design and animation)
